Vacation Rental Housekeeping Software: What to Look For

Diana MuturiaSeptember 30, 2026

Good vacation rental housekeeping software should do four things well: create cleaning jobs automatically from your bookings, give cleaners a clear checklist on their phone, collect proof that the work was done, and tell you before check in if something was missed. Look for those first, then weigh extras like payments, inventory and maintenance against your size and budget.

I spent nine years in cleaning and hospitality operations before founding Clyn, and the most common mistake I see is buying software for features that look good in a demo while the daily problem, missed tasks nobody catches, stays exactly the same.

Start with the problem you are solving

Before comparing tools, write down what is going wrong. Different problems need different software.

Your problemWhat to look for
Forgotten or late turnoversAutomatic scheduling from your calendar or PMS
Cleaners not sure what to doMobile checklists, room by room
No proof the job was doneRequired photos with timestamps
Missed spots reaching guestsA quality check before check in
Finding cleaners or backupsA cleaner marketplace
Paying and tracking cleanersPayments, payroll and invoicing
Running out of suppliesInventory and restock tracking
Repairs slipping throughMaintenance tasks and issue reporting

If your problem is at the bottom of this list, you likely need a broader operations platform. If it is quality, you need a verification step, which many scheduling tools do not provide on their own.

The core features

1. Automatic scheduling

The software should read your calendar or property management system and create a cleaning job for every checkout, then update it when a booking changes. Ask how quickly changes sync and what happens when a guest extends or cancels. Manual scheduling is where same day turnovers get missed.

2. Mobile checklists

Cleaners should see a checklist for the specific property, organized room by room, with notes and reference photos for how things should look. Check whether checklists can differ by property and whether they work in your cleaners' language. A strong checklist starts with a good template, like my Airbnb cleaning checklist.

3. Photo proof

Photos are the only record you have when you are not there. Look for:

  • Required photos at specific checklist steps, so they cannot be skipped
  • Timestamps saved with each photo
  • Photos stored per turnover and easy to find later
  • Some way to catch blurry or dark photos, which are useless as proof

4. Quality verification

This is the feature most hosts assume they are getting and often are not. Collecting photos is not the same as checking them. Ask each vendor directly: who reviews the photos, and when? The answers usually fall into three groups:

  • You review them yourself. Free, but it depends on you having time before every check in.
  • A human reviewer checks them, often per inspection, which adds a cost per turnover.
  • Software checks them automatically against your standard and flags misses.

Clyn is in the third group. Your cleaner takes photos in the Clyn app, Clyn's AI checks every photo against your property's standard, blurry or dark photos go back for a retake, and you get a pass or a fix list while the cleaner can still fix it. It works alongside scheduling tools rather than replacing them.

5. Issue and damage reporting

Cleaners are the first to see a broken lamp or a stain. The software should let them report it with photos in a few taps and route it to you or a maintenance person. Dated photos matter here if you need to prove guest damage later.

6. Integrations

Check that the software connects to the tools you already use: Airbnb, your PMS, your smart locks and your accounting. A tool that needs you to copy bookings by hand will not last.

Features that matter more as you grow

  • Payments and payroll: paying cleaners through the app, tracking hours or per turnover rates, invoices
  • Team management: assigning jobs across several cleaners, performance tracking
  • Inventory: par levels and restock alerts
  • Maintenance: recurring tasks like filter changes and deep cleans
  • Reporting: turnover times, issues per property, cleaner performance

A single property host rarely needs all of these. A manager with 30 units probably needs most of them.

Common tools by type (as of October 2026)

These are examples of what exists in each group, based on what each vendor says on its own site. Always confirm current features and pricing directly.

  • Scheduling plus cleaner marketplace: Turno and Properly both schedule from your calendar and help you find cleaners. Properly also sells expert photo inspections per turnover.
  • Operations platforms: Breezeway and Operto Teams cover scheduling, checklists, maintenance and inventory for growing managers.
  • Housekeeping management for teams and cleaning companies: ResortCleaning focuses on scheduling, inspections, housekeeper grading and payroll reports.
  • PMS task features: Guesty, Hostfully, OwnerRez, Hospitable and Jurny can create cleaning tasks from bookings.
  • AI quality checks: Clyn checks turnover photos and connects with Airbnb, Guesty, OwnerRez, Hostfully, Jurny and Hospitable.

Questions to ask before you buy

  1. How are cleaning jobs created, and how fast do booking changes sync?
  2. Can I have different checklists for different properties?
  3. Can I require photos at specific steps?
  4. Who checks the photos, and how am I told about problems?
  5. What happens when a cleaner's phone has no signal?
  6. How do cleaners get paid, and are there fees on payouts?
  7. Which integrations are native, and which need a third party connector?
  8. What does it cost at my exact number of properties, including add ons?
  9. Is there a free trial or free tier I can test on one property?
  10. How easy is it for my cleaner? Ask them to try it before you commit.

Get your cleaner's input

The best software fails if your cleaner will not use it. Show them the app during the trial, ask what slows them down and keep the checklist short enough to finish. Explain that photos protect them too: a clear record shows the home was clean when they left. For more on rolling out a quality process, read cleaning quality control for short term rental managers.

FAQ

Do I need housekeeping software for one Airbnb?

Not necessarily. A shared calendar, a written checklist and photos by text can work. Software helps when you want scheduling automated, a reliable photo record and a check before every guest.

What is the difference between housekeeping software and a PMS?

A PMS manages bookings, channels and guest messages, and usually creates basic cleaning tasks. Housekeeping software goes deeper on checklists, cleaners, inspections and payments. Many hosts use both, connected.

Can housekeeping software check the quality of a clean?

Some can. Most collect photos and leave the review to you. Others offer paid human inspections, and some, like Clyn, check photos automatically with AI and flag missed tasks.
